Coach Kym Ltd respects your privacy. This policy explains what personal data we collect, why, and what rights you have. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect

When you contact us or use our enquiry form: your name, email address, company name, phone number if you give it, and whatever you write in your message.

When you become a client: the above, plus billing address, invoicing details, the contents of our working communications, session notes, and any materials you share for the work.

When you pay us: we receive confirmation of payment from our payment provider. We do not see or store your card details. Card payments are handled by Wise and Stripe, who have their own privacy policies.

When you visit the website: basic technical data such as browser type, device, pages viewed and approximate location, collected through analytics and cookies. See Cookies below.

We don’t collect special category data (such as health information) unless you choose to share it with us in the course of coaching. If you do, we treat it with extra care and only use it to support the work.

Why we use your data and on what legal basis

• Running and improving the website — Legitimate interest, or consent for non-essential cookies

We do not run email marketing lists. We will not add you to one.

Who we share it with

We share data only with suppliers who help us run the business, and only what they need:

• Payment providers (Wise, Stripe)

• Accounting and bookkeeping services

• Website hosting and form provider (Framer)

• Email and document storage providers

• Video call providers for remote sessions

All of them are contractually required to protect your data. We never sell personal data.

International transfers

Some suppliers store data outside the UK. Where they do, transfers are protected by UK-approved safeguards such as the International Data Transfer Agreement or an adequacy decision.

How long we keep it

• Enquiries that don’t become clients: 12 months

• Client records, contracts and session notes: 6 years after the engagement ends

• Financial records: 6 years, as required by HMRC

• Website analytics: as set by the analytics provider, typically up to 26 months

Your rights

You can ask us to:

• tell you what data we hold about you

• correct it

• delete it (where we’re not legally required to keep it)

• restrict or object to how we use it

• give you a copy in a portable format

• withdraw consent where consent was the basis

Cookies

This site uses:

• Essential cookies needed for the site and the contact form to work. These can’t be switched off.

• Analytics cookies that tell us which pages get visited. These only run if you accept them in the cookie banner.

Security

We use reasonable technical and organisational measures to protect your data, including encrypted connections (HTTPS), access controls and reputable suppliers. No system is perfectly secure. If we become aware of a breach affecting your data, we’ll tell you and the ICO as required by law.

Children

Our services are for adults and businesses. We do not knowingly collect data from anyone under 18.

We may update this policy. The date at the top tells you when it last changed.
